Manage WhatsApp Templates
WhatsApp templates are Meta-reviewed messages used to start campaign communication. Template Manager 2.0 lets your business create a template, submit it to Meta, sync its latest status and check whether it can be used in a Yepsta campaign.
Before you begin
Section titled “Before you begin”- Connect the business-owned sender and make sure its account is active.
- Decide whether the template is Marketing, Utility or Authentication.
- Prepare privacy-safe example values for every variable.
- Prepare sample media that your business owns or is authorised to use.
- Write content that matches the customer’s consent and the purpose of the message.
Open and filter Template Manager
Section titled “Open and filter Template Manager”- Open Communication → WhatsApp Templates, or open the Templates tab in the WhatsApp workspace.
- Review Total Templates, Approved, Pending and Rejected.
- Search by template name, body text or category.
- Filter by Status, Account, Category, Sendability, Language or Header.
- Select a template to review its header, body, footer, buttons, Meta feedback, campaign usage and last sync time.
The status filter includes Approved, Pending, Rejected, Paused and Draft. A template can also show Sendable or Blocked. Only an approved, sendable template can be selected in Campaign 2.0.
Use Sync account name to refresh an active account’s template library from Meta. Syncing can change a template’s status or show that its structure no longer matches a saved campaign mapping.
Create a template
Section titled “Create a template”Select Create Template to open the full-screen Create WhatsApp Template composer. Its five labelled sections are Basics, Content, Actions / Cards, Variables & Examples and Preview & Submit.
- Choose the WhatsApp Account.
- Enter the Template Name. Use lowercase letters, numbers and underscores; Yepsta normalises the name before submission.
- Choose Marketing, Utility or Authentication.
- Enter the Meta Language Code, such as
enoren_US. - Choose Positional ·
{{1}}or Named ·{{customer_name}}for Parameter Format. - Choose the Header Type, write the content and add every required sample.
- Add the footer, buttons or carousel cards needed for the approved message design.
- Review Live Preview, then select Submit to Meta.
Template names accept up to 512 characters before normalisation. Language codes must use a two- or three-letter lowercase language code with an optional uppercase country code after an underscore. Use a locale that Meta supports for your account.
Build the content
Section titled “Build the content”For Marketing and Utility templates, the current creator supports:
| Component | Supported content | Enforced limit |
|---|---|---|
| Header | None, text, image, video or document | Text: 60 characters |
| Body | Static text with positional or named variables | 1,024 characters |
| Footer | Optional static text | 60 characters |
| Variable sample | Privacy-safe example for each unique variable | 256 characters each |
Positional variables must be contiguous from {{1}}; do not skip a number. Named variables must start with a lowercase letter and use only lowercase letters, numbers and underscores. Do not mix positional and named variables in one template.
Meta requires a sample for every variable. Those examples are used only to explain the proposed template during submission; they are not the values sent by a campaign.
Authentication templates
Section titled “Authentication templates”When Authentication is selected, Yepsta uses Meta’s managed authentication content and COPY_CODE action. Choose whether to include the security recommendation and set Code expiry (minutes) from 1 to 90. Custom header, body and button content is not submitted for this category.
Add buttons
Section titled “Add buttons”Select Add Button, then choose the action:
| Button type | What you provide | Enforced limit or rule |
|---|---|---|
| Quick Reply | Button text | 25 characters |
| URL | Button text and URL | Text: 25; URL: 2,000 characters; HTTPS required |
| Phone Number | Button text and business phone number | Text: 25; number: 30 characters |
| Copy Coupon Code | Button text and a submission example | Text: 25; example: 15 characters |
| Open Catalog | Button text | 25 characters |
A dynamic URL can contain one variable, and that variable must be at the end of the HTTPS URL. Provide the required example suffix. Campaign 2.0 later asks for the actual suffix sent to each recipient.
Quick replies and coupon-code buttons also create required campaign-time values. Static phone, catalog and non-dynamic URL buttons do not create a value to map in the campaign composer.
Add a media carousel
Section titled “Add a media carousel”Marketing and Utility templates can include a carousel of 2–10 cards.
- Select Add Card until the carousel has at least two cards.
- For each card, choose Image or Video and upload its required sample.
- Write the card body, up to 160 characters.
- Add a sample for every card body variable; each sample can contain up to 256 characters.
- Add the optional card button label and HTTPS URL. A dynamic URL needs a sample suffix.
- Keep the component and button structure consistent across every card.
Each card button label accepts 25 characters; its URL accepts 2,000 characters; and its dynamic URL sample accepts 256 characters. Carousel actions must be defined on the cards, so do not combine a carousel with top-level buttons.
Use supported sample media
Section titled “Use supported sample media”| Media | File types | Maximum file size |
|---|---|---|
| Image header or card | JPEG, PNG | 5 MB |
| Video header or card | MP4, 3GP | 16 MB |
| Document header | PDF, TXT, DOC, DOCX | 100 MB |
The file’s actual type must match the selected header or card type. Every carousel card needs its own media sample.
Submit, sync and understand status
Section titled “Submit, sync and understand status”There is no separate Save Draft action in the template composer. Submit to Meta validates the definition and sends it for Meta review. Closing the composer discards unsaved form changes.
After submission:
- Pending means Meta review is not complete.
- Approved means Meta approved the template, but it must also be Sendable in Yepsta.
- Rejected can include Meta feedback in the preview panel.
- Paused or Blocked cannot be selected for a campaign.
- Draft can remain when a submission did not complete successfully.
Meta controls approval, rejection, pausing and policy decisions. Yepsta cannot promise an approval time or guarantee that an approved message will be delivered.
If the status is not current, select Sync account name. If sync finds that an approved template’s components changed, edit the affected campaign draft and map every required value again before testing or launching it.
Clone or replace a template
Section titled “Clone or replace a template”Select a template and choose Clone to create a new version. The clone opens the template composer with a new name. Review every field, re-enter variable samples and re-upload required media before submitting it to Meta.
The current Template Manager does not provide in-place edit, delete or retire actions. To change an approved template, clone it or create a new template and complete Meta review again. Do not assume that editing content elsewhere changes an existing approved campaign safely; sync first and remap any affected draft.
Test an approved template
Section titled “Test an approved template”Test send appears only when the template is approved, sendable and you have test-send access.
- First use the template in a saved campaign and complete all required mappings.
- Make sure that campaign has at least one eligible sample recipient.
- Select the template in Template Manager.
- Enter an Authorised test number that you control or have permission to use.
- Select Test send and check the received content.
The test destination does not supply the variable data. Yepsta uses the saved campaign mapping and an eligible sample recipient to render the test, so verify whose sample values are being used.
Troubleshooting
Section titled “Troubleshooting”- Template does not appear in Campaign 2.0: Sync its account and confirm it is both Approved and Sendable.
- Submission asks for examples: Add a privacy-safe sample for every header, body, URL or card variable.
- Dynamic URL is rejected: Use HTTPS and place one variable at the end of the URL.
- Media is rejected: Check the actual file type, size and selected header/card format.
- Carousel will not submit: Use 2–10 cards, upload media for every card and keep their structures consistent.
- Test send is unavailable: Save a mapped campaign with an eligible sample recipient and confirm your test-send permission.
- Saved campaign now needs mapping: The synced template changed. Open the campaign draft, review every slot and save it again.
