Set Up and Activate a Project
Setup turns a commercial hand-off into an operationally ready Project. You plan the Draft first; finishing setup freezes the starting structure and moves it to Awaiting Start.
Complete the Draft
Section titled “Complete the Draft”Open the Project and use Overview → Setup & Start Readiness.
- Confirm Basics: title, type, customer, location, manager, schedule, start date and fixed-timeline target date.
- Build Milestones around client or business outcomes. Add at least one unless milestone-free Projects are permitted.
- Add the manager and assignees as active Project Team members.
- Reconcile Billing stages exactly to the agreed billable baseline, or confirm the Project is non-billable.
- Review the Project’s optional capability settings and configure any required Agreement, intake, internal approval or advance-payment controls.
- Resolve every setup warning, then select Finish Setup.
Setup cannot finish unless the manager is an active Project member, the schedule is valid, the plan meets the milestone rule and billable value is fully reconciled. If an advance-payment activation gate is enabled, at least one activation billing stage is also required.
Understand start readiness
Section titled “Understand start readiness”In Awaiting Start, the readiness panel evaluates the Project’s configured gates:
- Setup: the saved setup fingerprint is still current.
- Start date: today has reached the configured date.
- Agreement: every required Agreement is fully signed, including any countersignature, and has its stored signed PDF.
- Intake: every required request’s current response is Submitted.
- Internal approval: approval matches the current activation fingerprint.
- Payment: every activation billing stage is paid or validly waived.
Only enabled gates are evaluated. The panel identifies the source record and responsible side so you can fix the actual blocker.
Start manually or automatically
Section titled “Start manually or automatically”Select Start Project when every gate is ready. Depending on the saved activation mode, an eligible Project may instead start automatically when required payment is completed or whenever all configured gates become ready.
Automatic start never bypasses a signature, intake, approval, date or payment requirement. If a trigger arrives before another gate is ready, the Project stays Awaiting Start and is re-evaluated when the missing record changes.
Use an override carefully
Section titled “Use an override carefully”An authorised user can override a readiness control only with a meaningful reason. The event is audited and the underlying missing signature, submission or payment remains visibly unresolved—it is not converted into false source data.
Hold, cancel and archive
Section titled “Hold, cancel and archive”- Active → On Hold: record why execution is paused. Task and checklist progress is blocked while on hold.
- On Hold → Active: resume when the reason is resolved.
- Active or On Hold → Completed: pass the completion checks.
- Draft, Awaiting Start, Active or On Hold → Cancelled: record a cancellation reason.
- Completed or Cancelled → Archived: remove historical work from normal operational views without deleting it.
