Use Project Reports, Permissions, and Troubleshooting
Project reporting uses the same tenant, location, assignment and financial permissions as the operational module. A report or export never broadens what the viewer can see.
Choose the right report
Section titled “Choose the right report”Go to Projects → Reports → Project Reports.

Payment Ageing is intentionally unavailable until the canonical Invoice source provides a reliable due-date field. Yepsta does not substitute Invoice date and present it as ageing truth.
Use filters for accessible dates, locations, customers, statuses, managers or other supported dimensions. The screen shows a bounded result set; CSV export streams the full permission-scoped result for the chosen filters.
Use Project Performance
Section titled “Use Project Performance”Open Projects → Reports → Project Performance for portfolio control across planned and actual hours, budget consumption, approved unbilled work, net invoiced value, collection, direct cost and contribution. Missing cost inputs are shown as Incomplete rather than producing a misleading margin.
Use Team Workload
Section titled “Use Team Workload”Open Projects → Reports → Team Workload to compare net capacity, confirmed flexible Project work, actual tracked effort, billable tracked effort, plan difference and availability state. It uses staff schedules, approved non-working time and fixed appointments.
Understand access
Section titled “Understand access”Owners bypass Project child permissions. Managers and staff need the base Projects feature, location access and each child permission. Without View all Projects, visibility is limited to Projects they created, manage, actively belong to, or are assigned/collaborating on tasks within.
Sensitive controls are separated: members, tasks, reviews, billing, releases, overrides, templates, stakeholders, Agreements, intake, documents, internal approval, time, timesheets, rates, costs, expenses, budgets, profitability, resource planning, capacity, retainers and client collaboration.
Troubleshoot common problems
Section titled “Troubleshoot common problems”“I cannot see the Project or section”
Section titled ““I cannot see the Project or section””Check feature availability, location access, assignment scope, the Project’s saved capability, your exact child permission and lifecycle. Optional sections require all of them.
“The Project will not start”
Section titled ““The Project will not start””Open Setup & Start Readiness. Check the current setup fingerprint, start date, fully signed Agreement PDF, current intake submissions, current internal approval and authoritative payment gates.
“The task will not move to Done”
Section titled ““The task will not move to Done””The Project must be Active. Complete dependency blockers and required subtasks, and confirm you have access as manager, primary assignee or collaborator.
“The milestone or Project will not complete”
Section titled ““The milestone or Project will not complete””Resolve required leaf tasks, mandatory milestone completion, latest deliverable versions, formal approval and required release. A 100% progress badge does not perform these decisions.
“The client cannot act”
Section titled ““The client cannot act””Check explicit stakeholder status, identity match, granular permission, exact assignment and the source record’s current version. Legacy linked accounts cannot perform sensitive actions.
“The Invoice or Payment is missing”
Section titled ““The Invoice or Payment is missing””Open the canonical Invoice. Verify the Project billing stage or selected unbilled work is linked, then check Invoice status, Credits and recorded Payments. Never repair the display by creating a duplicate record.
“Profitability or capacity is incomplete”
Section titled ““Profitability or capacity is incomplete””Profitability needs authorised cost sources and rates. Capacity needs valid staff schedules, location context, leave, holidays and appointments. Fix the missing source before relying on the metric.
