Use the Client Workspace and Share Project Updates

The Client Workspace is the Projects area inside the existing Customer Account. It gives each stakeholder one authenticated place for authorised Project information and actions.

Open People → Client Stakeholders & Access. Add the Project’s main customer or another eligible contact and choose a responsibility preset:

  • Primary Contact: broad client responsibilities.
  • Project Collaborator: progress, documents and collaboration.
  • Approver: review and approval responsibilities.
  • Agreement Signer: Agreement access and signature.
  • Finance Contact: financial view and payment initiation.
  • View Only: restricted read access.

Presets are a starting point. The granular permissions shown in the editor are authoritative. These can include workspace, documents, financials, Agreements, signing, intake, upload, reviews, Change Orders, progress, messages, actions, approval, payment initiation and cycle reports.

If the stakeholder already has a matching Customer Account, they use it. Otherwise Yepsta shows a one-time invitation link once; it expires in 48 hours and sign-in must match the intended verified email or phone.

Legacy linked Customer Accounts can have limited read access, but cannot perform sensitive client actions. Choose Enable Explicit Access, review which people and permissions will be retained or removed, then confirm. The transition is audited.

Publish a client-safe progress snapshot
  1. Open the Project’s client update action.
  2. Enter a clear title, summary, progress statement, current risks and the next expected step.
  3. Choose the intended stakeholder audience and permitted notification channels.
  4. Attach only client-safe files.
  5. Preview and publish.

Published updates are immutable snapshots. Add a new update when facts change. Email, SMS or WhatsApp delivery follows configured channel availability and recipient preferences; the Customer Account remains the durable source.

  • Client Update: formal progress snapshot.
  • Message: ongoing contextual conversation when collaboration is enabled.
  • Client action item: one named stakeholder must upload, confirm, review or pay.
  • Review request: formal decision on an exact deliverable version.
  • Change Order: formal response to changed scope, price or dates.
  • Intake request: structured information against a frozen form schema.

The Customer Account can show Overview, Agreements, Intake, Actions, Messages, Documents, Change Orders, Reviews, Deliveries, Financials and Activity according to access. Client-safe milestones, appointments, updates, accepted commercial records, Invoices, Payments and released finals may appear.

Internal tasks, checklists, notes, internal comments, private documents, costs, draft commercial records and unreleased final assets stay hidden.

An accepted Project-intent Estimate may show its Draft Project as Preparing with minimal information. Other Draft Projects remain hidden until ready for client visibility.
