Request and Review Project Intake Forms

Intake Forms collect structured client information against an exact published schema. Each submitted response is immutable, so corrections create a new current version instead of overwriting what the client originally supplied.

In Projects → Workflow Settings, create and publish an Intake template. Supported fields include short and long text, email, phone, number, date, yes/no, single choice, multiple choice, file and information-only content. Mark truly essential answers as required.

Publishing makes the schema available for new requests. A request snapshots the template, so later template edits do not change a form already sent to a client.

Collect Project intake
  1. Add the respondent as an active client stakeholder with intake permission.
  2. Open Documents → Intake Forms and create a request from a published template.
  3. Select the one responsible stakeholder, choose whether it is required for activation and set an optional due date.
  4. Send the request. The client sees it in Customer Account → Projects → Intake.
  5. Monitor the request until the current response is Submitted.
  6. Review the submitted answers and authorised uploaded files from the Project.

The client can save and complete the current requested form. Submission freezes that response version and records when it was supplied.

If information must change, reopen the intake request with a correction reason. Yepsta preserves the previous submission, creates a new current response and notifies the stakeholder. If intake is a start gate, the Project is no longer ready until the reopened current response is submitted.

Ask only for information needed to deliver the Project. Use the file field for required client evidence; use Project Documents for general reference material. Internal notes and tasks are never part of the client’s intake form.
