Projects Quick Start

Use this guide for the shortest safe path from agreed work to an Active Project. It assumes the customer and location already exist.

Decide three things:

  1. Commercial source: Proposal-led, Project-intent Estimate, direct billable, or direct non-billable.
  2. Schedule: fixed timeline with a target date, or ongoing collaboration without one.
  3. Controls: whether this Project needs Agreements, intake, internal approval, advance payment, formal review or payment-gated release.

Optional capabilities must first be made available in Projects settings. A new Project snapshots the current defaults; changing defaults later does not silently rewrite it.

Launch a straightforward Project
  1. Go to Projects → All Projects and select Create Project.
  2. Choose the location and customer, enter the title, type, summary, manager and schedule.
  3. Choose a template if it matches the work. Mark the Project Billable or Non-billable and record the accepted baseline for billable work.
  4. Create the Draft. Open Overview → Setup & Start Readiness.
  5. Confirm the basics, add at least one milestone unless milestone-free delivery is allowed, add active Project members, and reconcile the billing plan.
  6. Enable and configure only the optional controls the engagement actually requires.
  7. Select Finish Setup. The Project moves to Awaiting Start.
  8. Clear every displayed start gate. Start manually when ready, or let an eligible automatic-start rule act when its exact conditions are met.
  • Open Tasks, add required work under outcome milestones, and assign only active Project members.
  • Use My Work or the task workspace to execute tasks, checklists and dependencies.
  • Schedule fixed commitments in Delivery → Appointments.
  • Put reusable Project files in Documents; put reviewable output in Deliverables & Reviews.
  • Share client-safe progress through Client Updates, messages or client action items—each serves a different purpose.
  • When scope or price changes, use a Change Order instead of silently editing the accepted baseline.
  • Create an Invoice only from a ready billing stage or selected approved unbilled work. Record payment in the normal Invoice workflow.

Before completing, resolve required tasks, mandatory milestones, final deliverable versions, approval and release controls. Outstanding invoices remain collectible after operational completion; they are not erased or treated as paid.
