Understand Attendance and Clock In or Out
Attendance Lite combines shifts, weekly offs, holidays, approved leave and clock events into one daily attendance result. Appointments show customer work; they are not proof that a staff member attended work.
Understand the daily statuses
Section titled “Understand the daily statuses”- Pending: a working day is prepared but does not yet have a final result.
- Present: completed clock evidence or an authorised record meets the full-day rule.
- Absent: a past scheduled working day was finalised without valid attendance.
- Half-day: worked time or an authorised record meets the half-day rule but not full-day.
- Leave: approved full-day leave covers the date.
- Holiday: an active location holiday covers the date.
- Weekly off: the effective schedule marks a recurring or date-specific non-working day.
- Not scheduled: no active shift, working override or compatible availability was found.
- Incomplete: clock evidence is unmatched, too short for a half-day result or otherwise requires review.
Date-specific schedule overrides take priority. Approved leave, a location holiday and a recurring shift or weekly off are then resolved in order. Existing appointments never create a shift.
Clock in and clock out
Section titled “Clock in and clock out”- Open My Workspace or My Attendance and find Today’s Attendance.
- Review the effective shift, status, clock times and worked time.
- Select Clock In when the button becomes available. Yepsta records server time; you do not type the time.
- Keep the day open while working. A second clock-in is blocked while the first clock is open.
- Select Clock Out after the work period.
- Review Worked, any late indicator and the resulting status.
Clocking is available only inside the permitted shift window. It is blocked on leave, a holiday, weekly off or an unscheduled day unless an authorised working-date override changes the effective schedule. For an overnight shift, a clock-out after midnight remains attached to the shift’s starting work date.
Ordinary staff cannot enter arbitrary historical clock times. Use Request correction when a clock or result is wrong.
Appointments, leave and devices
Section titled “Appointments, leave and devices”The same effective shift, leave, holiday and weekly-off rules restrict internal and public appointment availability. Approving leave does not cancel existing appointments; the manager must resolve and reassign any conflicts shown during approval.
Attendance Lite is designed to accept future compatible device events, but the current customer workflow does not enrol fingerprints, faces or biometric templates.
Troubleshooting
Section titled “Troubleshooting”- Clock In is unavailable: confirm Self Attendance access, staff-profile link, today’s effective shift and the allowed clock window.
- Duplicate clock-in: clock out the open attendance pair; request a correction if the first clock was wrong.
- Clock Out is unavailable: confirm an open clock-in exists and the record is not locked.
- Wrong work date after midnight: an overnight shift uses the original shift date; other cases require a correction review.
- Shift not assigned: ask an authorised user to add a recurring assignment or date override.
- Status is Incomplete: clock out if still working, otherwise request a correction.
- Record is locked: finalised payroll protects the attendance used for pay; follow the payroll correction process.
