Manage Project Health, Next Actions, and the Attention Queue
Yepsta derives operational signals from current setup, task, review, client, billing, Invoice and Payment records. These signals are not manually maintained labels.
Read the operational axes
Section titled “Read the operational axes”| Signal | Question it answers | Values |
|---|---|---|
| Lifecycle | What state is the Project in? | Draft, Awaiting Start, Active, On Hold, Completed, Cancelled, Archived |
| Health | Is required work on schedule? | On Track, At Risk, Overdue |
| Waiting on | Which side currently owns the hand-off? | Our Team, Client, Payment, Scheduled Date, Nobody |
| Journey | Which responsibility stage is dominant? | Win the Work, Set Up, Deliver, Get Approval, Collect, Release, Complete |
| Commercial | What is the billing/collection state? | Not Billable, Planned, Ready to Invoice, Invoiced, Partially Paid, Paid |
| Delivery | What is the review/release state? | Not Required, In Review, Changes Requested, Approved, Locked, Released |
Each can change independently. Terminal Projects have no operational health and wait on Nobody.
Understand health
Section titled “Understand health”An unfinished Project is Overdue when its target date has passed, a mandatory milestone is late, or a required task is late. It is At Risk when required work is Blocked. Otherwise it is On Track.
Resolve the late date, required task or blocker. A client review or unpaid Invoice affects responsibility and journey, but does not replace the due-date health calculation.
Understand waiting on
Section titled “Understand waiting on”Waiting on is derived from the primary next action:
- Client: a signature, intake, review, Change Order, requested information or client action is pending.
- Payment: authoritative collection is the current gate.
- Scheduled Date: the next safe action is waiting for the configured date.
- Our Team: setup, staffing, countersignature, internal approval, billing, work, delivery or completion needs action.
- Nobody: no current hand-off is required.
Use the next best action
Section titled “Use the next best action”The Project Overview shows one primary action, up to two secondary actions and relevant blockers. Priority broadly moves from setup/start gates to commercial/client exceptions, blocked or due required work, delivery/review, ready billing, outstanding collection and completion.
The action is permission-aware. Select it to open the source workspace. If you cannot perform it, identify the role shown as responsible and route the work to them.
Work the Attention Queue
Section titled “Work the Attention Queue”Go to Projects → Overview and filter the queue by location, responsibility or signal. Open the source record and resolve it there. Examples:
- assign a missing manager or required task;
- reopen and submit the current intake response;
- collect a formal review decision;
- create an Invoice from a Ready stage;
- record the actual Payment on the Invoice;
- add the latest final deliverable and release it.
Avoid “clearing” attention with unrelated edits. The item disappears when the authoritative condition changes.
