Troubleshoot Appointment Availability
A slot appears only when the whole selected service set can be scheduled at the branch and every service line can receive eligible, non-overlapping staff.
Before you begin
Section titled “Before you begin”Record the location, date, proposed start time, exact services and intended staff. For a multi-service booking, inspect each numbered line separately.
Where to check
Section titled “Where to check”Start in Appointments → Appointment Manager. Use Business → Manage Availability, Catalog & Inventory → Services, Team → Manage Staff, Appointments → Calendar and Appointments → Staff Calendar for the checks below.
Check availability in order
Section titled “Check availability in order”- Confirm the selected location is the branch where the services and staff operate.
- Open Business → Manage Availability and confirm the branch is open on that weekday with the correct start, end and slot interval.
- Open Catalog & Inventory → Services and confirm every selected item is active, bookable, in that location and has a positive duration.
- Review each service’s buffer time and capacity.
- Open Team → Manage Staff and confirm the intended person is active in the same location.
- Confirm the staff profile is assigned to each exact Standard Service or Service Variant—not only the category or parent group.
- Check the staff member’s working day, shift and break.
- Use Calendar or Staff Calendar to check overlapping appointments and service lines.
- Return to the appointment and reselect the date and starting slot.
- Review Service Staff Allocation and resolve every unavailable, unassigned or conflict line.
How time is calculated
Section titled “How time is calculated”Yepsta sequences the selected services from the chosen start time. Each line uses its service duration and buffer before the next line begins. The entire sequence must fit within branch hours and the assigned staff members’ shifts without crossing a relevant break or blocking appointment.
Pending, confirmed, completed and no-show work can block overlap. Cancelled appointments do not block a slot.
Common messages
Section titled “Common messages”- One or more selected services is not bookable for this location — reselect active bookable services from the correct branch.
- One or more selected services is missing a usable duration — add a valid duration to the service.
- No eligible staff is available for one or more selected services at this time — check exact service assignment, shifts, breaks and conflicts for each line.
- Selected staff is not assigned to this service — update the staff profile or choose an eligible person.
- The business location is closed for this service line — use a time fully inside branch hours.
- Selected staff is not working for this service line — choose a covered shift time.
- Selected staff already has a blocking appointment for this time — choose another staff member or slot.
- This Slot is Fully Booked — the relevant service capacity at that start time is reached.
Location and filter problems
Section titled “Location and filter problems”Owners can reach all active locations. Managers and staff see only assigned locations. If a service, staff member, appointment or waitlist entry appears to be missing, first confirm the module’s location selector and the signed-in user’s location access.
Changing location clears incompatible service and staff selections in the create workflow. Rebuild the booking from services available in the new location.
Multi-service conflicts
Section titled “Multi-service conflicts”The same staff member cannot receive two selected service lines that overlap. Different staff can perform different lines, and one staff member may perform consecutive non-overlapping lines when eligible and available.
If the slot disappeared while saving
Section titled “If the slot disappeared while saving”Availability is checked again at confirmation. Another booking, staff change or service change may have made the displayed slot invalid. Reload available slots, choose a current option and review every allocation line again.
Leave and one-off exceptions
Section titled “Leave and one-off exceptions”The personal My Schedule can show approved leave, while the appointment allocator visibly relies on recurring staff working hours and existing bookings. Check approved leave operationally before confirming a slot; do not assume a blank calendar cell alone proves availability.
