Use the Appointment Calendar
Calendar places appointments on the branch time grid. It is best for seeing open time, concurrent bookings and the working day; Appointment Manager is better for queue operations, phone search and billing context.
Before you begin
Section titled “Before you begin”Configure business hours and staff availability. Calendar builds its rows from the selected branch’s opening hours and slot interval.
Where to find it
Section titled “Where to find it”Open Appointments → Calendar.
Navigate and filter the calendar
Section titled “Navigate and filter the calendar”- Use the previous-range arrow, Today or next-range arrow to move through dates.
- Choose Day, 3-day or Week on desktop. The compact mobile controls expose Day and Week.
- Use Search customer to find a name or phone number.
- Open Filters and select Location, Staff and Status.
- Use Show Closed Slots only when you need the closed parts of the board for context.
- Select Reset Filters to return to all staff and statuses for the current location.
The desktop board scrolls vertically through time. In wider ranges it also scrolls horizontally; the time column stays visible. Several appointments beginning in the same slot appear side by side rather than being merged.
Read appointment blocks
Section titled “Read appointment blocks”An appointment block shows the customer, staff summary, service summary, start time and status. Hovering on desktop adds phone, end time, amount and notes. A multi-service block can show an additional-service count and the number of service staff.
Select a block to open Edit Appointment. The editor contains the complete service-line sequence and staff assignment.
Create from an open slot
Section titled “Create from an open slot”- Select New Appointment, New Booking, or the + Add action in an empty open cell.
- Confirm the prefilled date, time and location.
- Add the customer and exact services.
- Review Service Staff Allocation for every line.
- Save the appointment.
Move an appointment by drag-and-drop
Section titled “Move an appointment by drag-and-drop”Desktop drag-and-drop is available only for an active appointment that does not have line-level service allocation and has an assigned staff member. It is not available for current multi-service appointments, or for completed or cancelled appointments.
- Confirm that the block shows a grab cursor.
- Drag it to an open cell in the same branch calendar.
- Release it on the required date and time.
- Wait for Appointment moved successfully.
- Reopen the appointment and verify its date, start time and end time.
The move is refused when the time falls outside branch hours, crosses a branch or staff break, falls outside the assigned staff member’s shift, or overlaps another non-cancelled booking.
What happens next
Section titled “What happens next”A successful move preserves the appointment duration, refreshes the calendar, and may send a reschedule notification. The old opening is checked for matching waitlist requests.
Mobile behaviour
Section titled “Mobile behaviour”The mobile Calendar uses day cards rather than desktop drag-and-drop. Select a booking to edit it, or use New on an open day to create an appointment.
Troubleshooting
Section titled “Troubleshooting”- If no grid appears, configure active business hours for the selected location and date.
- If a booking is missing, clear staff, status and customer filters and confirm the location.
- If a block cannot be dragged, it may have service-line allocation or be completed/cancelled.
- If a move is rejected, check branch hours, breaks, staff shift and overlapping bookings.
- If appointments look crowded, switch to Day or 3-day, filter to one staff member, and use normal board scrolling.
