Create Multi-service Appointments and Allocate Staff
A single appointment can contain several services. Yepsta schedules them as consecutive service lines, so a haircut, treatment and consultation can have different staff members and times while remaining one customer booking.
Before you begin
Section titled “Before you begin”Each selected item must be an active Standard Service or Service Variant in the appointment location. Assign every staff member to the exact service they can perform and add their working hours.
Where to find it
Section titled “Where to find it”Open Appointments → Appointment Manager, select the location and choose New Appointment. From Calendar, choose New Appointment, New Booking or an empty slot’s + Add action.
Create the appointment
Section titled “Create the appointment”- Open Appointments → Appointment Manager and select the location.
- Select New Appointment.
- In Customer Details, search by name or phone and select an existing customer, or enter the customer’s phone, name and email fields shown.
- In Service Selection, use Main Category, Subcategory or Search Service to find bookable services.
- Select every exact service or variant in the order the customer will receive it.
- Choose the Appointment Date.
- Select an Available Slot. Slots appear only when the complete service set can fit.
- In Service Staff Allocation, assign an eligible staff member on every numbered service line, or select Auto-assign staff to fill the lines.
- Confirm that every line says allocated and shows the intended start and end time.
- Add Internal Notes when the front desk needs operational context.
- Review the service count, total amount, combined duration and starting slot, then select Save Appointment.
How service-line sequencing works
Section titled “How service-line sequencing works”The first selected service starts at the appointment slot. Its duration and buffer determine when the next service begins; each later line follows in sequence. One staff member can cover several lines when eligible and free, or different staff can cover different services.
For every line, Yepsta records the exact service, assigned staff member, date, start and end time, price, quantity, duration, buffer, tax percentage and allocation state. The appointment keeps the first service and first allocated staff member as a summary, but they do not replace the line-level schedule.
Price, tax and duration
Section titled “Price, tax and duration”The create and edit summaries total the selected service prices and the scheduled duration including each service’s buffer. The appointment details later show Amount, any Discount, Final Amount, and invoice status. Each service line keeps the tax percentage and price used for that booking; detailed tax calculation appears on the invoice after completion.
Edit an existing multi-service appointment
Section titled “Edit an existing multi-service appointment”- Open the appointment in Appointment Manager, Calendar or Staff Calendar.
- Select Edit Appointment.
- Add or remove services only after checking what the customer expects.
- Choose the date and an available starting slot.
- Recheck every numbered line in Service Staff Allocation.
- Resolve any unassigned or conflict state.
- Review the recalculated amount and duration, then save.
The editor keeps existing service snapshots where possible, rebuilds the sequence, revalidates staff eligibility and availability, and updates the appointment total. Saving through this editor also resets the appointment-level discount to zero. Completed and cancelled appointments cannot be edited.
What happens next
Section titled “What happens next”The complete appointment appears once in Appointment Manager and the main Calendar. Staff Calendar shows each service line under the staff member assigned to that line.
Troubleshooting
Section titled “Troubleshooting”- No slots appear: the full service sequence cannot fit within branch hours, breaks or current staff capacity on that date.
- No staff option appears: no active staff member at the location is assigned to that exact service.
- Unavailable appears beside staff: the person is outside working hours or overlaps another appointment or service line.
- Service duration is missing or zero: correct the service before booking.
- This Slot is Fully Booked: choose another start time or review the service capacity.
- A calendar block will not drag: appointments with line-level allocation must be rescheduled through Edit Appointment.
