Plan Project Milestones and Tasks
Use Tasks to organise client or business outcomes as milestones and the work needed to reach them as tasks. Planning changes are allowed before activation; execution changes are restricted to Active Projects.
Build outcome milestones
Section titled “Build outcome milestones”A milestone represents an outcome, checkpoint or delivery stage. Set its title, planned dates, sequence and whether it is mandatory. A fixed Project normally needs at least one; milestone-free work is possible only when the saved configuration allows it.
Milestone statuses are Not Started, In Progress, Ready and Completed. When task progress reaches 100%, the milestone becomes Ready—not automatically Completed. Complete it explicitly after checking its required deliverables, approvals and releases.
Create complete tasks
Section titled “Create complete tasks”- Open Tasks and choose the milestone.
- Add the task title and useful description.
- Choose a primary assignee and optional collaborators from active Project members.
- Set priority, start date, due date, estimated time and whether the task is required.
- Add a checklist, internal links, dependencies or task attachments when they improve execution.
- Add a one-level subtask only when it is independently assignable work under the same milestone.
Task statuses are To Do, In Progress, Blocked and Done. A manual Blocked status needs a reason unless an unfinished dependency already explains the block.
Use dependencies and subtasks safely
Section titled “Use dependencies and subtasks safely”- A task cannot depend on itself or create a circular chain.
- A task cannot become Done while any blocker is unfinished.
- A parent cannot become Done while a required subtask is unfinished.
- Only one subtask level is supported; subtasks remain in their parent’s milestone.
- Assignees and collaborators must stay active Project members.
Work in List, Board or saved views
Section titled “Work in List, Board or saved views”Use the dense List for detailed planning or Board to scan workflow. Quick filters include All tasks, My tasks, Overdue, Due today, Due week, Blocked, Unassigned and High priority. Filter further by milestone, status, priority, assignee and due state. Save a personal view to return to the same filters without changing anyone else’s view.
Select a task to open the embedded inspector. It preserves the Project page and filter context while you review status, owner, collaborators, priority, dates, effort, dependencies, updates and files. Use the direct task workspace when you need a stable page for deeper collaboration.
For a controlled bulk change, select no more than 50 tasks, preview the impact, then change status, assignee, priority, due date or milestone. Yepsta validates dependencies, assignments and record versions before applying; conflicting tasks are reported instead of silently overwritten.
Understand progress
Section titled “Understand progress”Task progress counts required leaf tasks. If a parent has subtasks, the parent is not counted separately. Milestone progress comes from its required leaf tasks. Project progress averages mandatory milestones; if none are mandatory, it uses all milestones. A Project with no milestones shows 0%.
Know when execution is allowed
Section titled “Know when execution is allowed”You can plan in Draft, Awaiting Start, Active or On Hold. Task status and checklist execution require an Active Project. On Hold pauses progress changes; Completed, Cancelled and Archived Projects are locked.
