Configure Staff Compensation
A compensation profile defines the staff member’s salary basis, commission participation, attendance pay treatment and effective dates. Payroll selects the profile that applies to each date in the run.
Choose the structure
Section titled “Choose the structure”- Commission Only: no salary or overtime component; eligible completed service commission can be paid.
- Salary Only: monthly, daily or hourly salary without commission.
- Salary + Commission: salary plus eligible service commission.
Yepsta provides operational payroll records. It does not calculate or file statutory payroll, TDS, PF, ESI or professional tax.
Create a compensation profile
Section titled “Create a compensation profile”- Open Team → Compensation Profiles and select Add Profile.
- Choose the Staff member and an optional Location. Use All Locations for a business-wide profile.
- Select Compensation Type.
- When salary applies, select Salary Basis as Monthly, Daily or Hourly, then enter that rate.
- For Monthly, choose Attendance based or Fixed monthly — deduct unpaid leave only.
- For attendance-based Monthly, select Scheduled working days or Calendar days proration.
- Confirm Standard Daily Minutes, the payout cycle and whether commission is enabled.
- Choose whether the profile pays approved leave, paid holidays and weekly offs where those fields apply.
- If overtime is paid, enable Pay approved overtime and enter Overtime Hourly Rate.
- Enter Effective From, optional Effective To, keep Active profile selected and save.
Understand monthly modes
Section titled “Understand monthly modes”Attendance based uses approved attendance. The proration denominator is either scheduled working days or calendar days, and payable days follow present, half-day, approved leave, holiday, weekly-off and absence treatment.
Fixed monthly — deduct unpaid leave only uses calendar-day proration. Present, absence, half-day, holiday, weekly off, missing attendance and Not scheduled do not reduce base pay. Only approved unpaid leave and employment/profile start or end boundaries reduce it. Overtime can still use approved attendance evidence when enabled.
Effective dates and profile priority
Section titled “Effective dates and profile priority”An exact location profile is preferred over an All Locations profile for that date and location. Active overlapping profiles for the same staff scope are blocked because payroll could not choose safely.
When terms change, end-date the old profile and create a replacement. A payroll period can span multiple profiles or months; each segment is calculated using the terms and denominator that apply to it.
Profiles already used by payroll history cannot be rewritten or deleted. Historical calculations keep their captured terms.
Troubleshooting
Section titled “Troubleshooting”- Overlapping profile error: adjust Effective From/To so only one applicable profile exists per date and scope.
- Staff missing: confirm the staff profile is active, employed during the period and within your location access.
- Unexpected profile selected: look for a location-specific profile taking priority over All Locations.
- Overtime is zero: enable approved overtime and enter a rate; Attendance must also contain approved overtime minutes.
- Cannot edit history: end-date the old profile and add a replacement instead.
