Manage Holidays, Leave and Appointment Conflicts

A business holiday closes a location date for schedule and attendance resolution. Approved leave closes the staff member’s dates. Existing appointments remain visible for manual resolution.

Add Business Holiday
  1. Open Team → Holidays and select Add Holiday.
  2. Choose the Location and Holiday date. These are fixed after creation.
  3. Enter the Holiday name and optional description.
  4. Set Paid holiday flag when the day is intended to be paid, and Optional holiday when applicable.
  5. Select Add Holiday.

The holiday prevents that date from being treated as an unexplained absence. Payroll pays the holiday only when the holiday is marked paid and the effective staff compensation profile also pays holidays.

A date-specific working shift can intentionally make a holiday or weekly-off date a working day. A date-specific non-working override can close an otherwise scheduled day. Review the staff member’s effective schedule after adding the override.

Approved leave updates unlocked daily attendance to Leave and blocks new appointments for the covered full dates. The current leave workflow is full-day/date-range based; it does not provide partial-day time segments.

When leave overlaps existing appointments, Yepsta reports the conflicts but does not cancel or reassign them. The manager should:

  1. review each conflicting appointment;
  2. contact the customer where required;
  3. assign an available staff member or reschedule; and
  4. confirm the updated Staff Calendar.

Cancelling or rejecting leave recalculates unlocked attendance and restores availability according to the effective shift and other conflicts.

  • Holiday is not appearing: confirm the date, location, active state and selected Staff Calendar/Attendance location.
  • Staff can still be booked: check for a working date override and whether the appointment uses another staff line.
  • Approved leave is not reflected: confirm the leave status, staff profile link, date range and location; locked payroll attendance cannot be rewritten.
  • Existing appointment remains: this is expected; reassign or reschedule it manually.
  • Pay treatment is unexpected: compare the holiday/leave paid flag with the compensation profile and rebuild only a draft payroll.
